The e-Census office occupancy monitoring system is a new facility management tool, by which you can remotely monitor the occupancy of buildings, floors and tables in real time.

With the office occupancy monitoring system, the daily employee traffic, the utilization of the given floors and tables can be monitored remotely. This allows the facility management to adapt the operation of the cooling, heating and ventilation equipment and the size of the available office space, to the actual occupancy data. Employees arriving at the building can check in a mobile app in real time on which floors and at which tables they can find a free workstation, thus reducing the time spent searching for seats. According to international statistics, an employee spends in average 15 minutes each day finding a free desk. Therefore, losses due to this downtime can be significantly reduced.

Our office occupancy solution is based on a building block scheme as shown on the figure above. It can be built up from simple people counting solutions up to complex AI based real time or localization solutions, depending on size of office area, number of employees and individual needs of building operators or owners. For the visualization of data we use digitized maps for office floors and buildings, with physical location of desks, entrances, etc. With our smart office occupancy solutions the overall costs could be reduced by at least 30%.

Our major focus is people’s needs by which your organization can better organize work and same time save money. If you see following questions, then it could be time to contact us and ask for consultation or demo:

– Do you want to adapt the office space to the actual number of employees?

– Wondering how office occupancy develops over a given time period, which desk islands most people are at, or where the free seats are?

– Do you want to increase employee comfort by expanding office space or by allocating free seats more efficiently?

How it is possible beyond our smart sensory products and solutions have a look at following points and also the YouTube video on the home page.

Future proof systems & solutions always rely on human & technical factors at the same time

The following bullet points describe our philosophy of how to provide highest possible standards and economical benefits to our customers.

Professionalism

Our team has a long-lasting experience and always ready to face challenges. Today world challenges are manifold, started with the impact of COVID-19 and continued with the war in Ukraine, which led into enormous energy cost increases. The first impact is led into the realization of hybrid office solutions, while the latter calls for energy, overhead cost savings. Moreover the COVID-19 safety measures require companies to maintain the necessary social distance between employees, which can be guaranteed with our e- & AI-Census solutions.

Reliability

Reliability starts with proper installation of sensors, followed with components and overall system reliability. Installations are made easy due to wireless design, therefore only power supply is needed. Important to notice that all processes are automatized, including LCC management of counters and strict SLA-s and KPI-s to meet expectations. e- & AI-Census sensors, counters are also a great help when booking solutions are used, because they can be used as enforcement to check if desks are really occupied or free.

State of the art IT design

The IoT devices are placed within the demilitarized zone (DMZ) to ensure highest possible security. Sensors only send data to servers via SOAP/XML interface with one way communication. No images or any personal data are saved on the sensors, therefore compliance with GDPR regulations of the EU is ensured. The POSTED data to the server can be accessed through a web interface by using VPN. The whole solution is validated by leading industrial experts, according to the highest standards.

Efficient facility utilization

Thanks to the availability of real time occupancy information, the output of the heating, cooling and ventilation systems can be properly adjusted to the actual numbers of people in certain office areas, like floors or rooms. This can improve micro-climate and hence increase employee satisfaction and lead into energy savings at the same time. Historical occupancy data can support decision makers regarding optimal office space planning according to real needs of the organizations. Hassle free organization of the workforce is also made possible.

The importance of smart sensory solutions in facility management

Good decisions are always backed by numbers imputed by experts. If you really care about your Office Space Utilization then time to make following simple calculations and topics to be considered:

  1. Divide the number of employees with so called total workspace capacity. If it is below 60 %, then it is time to contact us and we would help you how to increase it to above 80% during working hours.
  2. If you worry also about real utilization of desks, then you can also make a simple calculation by dividing the number of occupied desks with the total number of available desks. For example, if you have 100 desks, but only 50 of them are used during the day, this means a 50 % occupancy rate. Moreover if you are planning to introduce a hybrid office scheme, then all of these calculations need to be made real time.
  3. Worry about capacity vs. occupancy rates: usage based on maximum capacity for space efficiency to optimize areas and improve workflow. This can be done by using floor plan software with a built-in formula for calculating usage.
  4. Mobility ratios are for most important in case of flex or hybrid offices: it is all about the number of employees who work from home at least one day in a given week. This helps optimize office space if the majority of your workforce is mobile.
“Offices are here to stay, but it is a new breed, the hybrid office, that will prevail."

Frequently asked questions

How about data privacy and GDPR regulations?

The sensors are not storing any images or data. The communication between sensors and back end is one way, only sensors post data to server, but sensors are not accesible.

Are the informations real time?

We have two types of sensors, one called e-Census is taking regular samples and make judgement based on it, like if desk is free, occupied (personal belongings are on the desk) or used (somebody is sitting there). The other one called AI-Census is fully real time and track and traces objects on the desk and people around the desks continuously.

Do You have a solution in which people can be tracked in whole office building?

Yes, based on 6.5 GHz Ultra-Wideband (UWB) transceivers, we can localize people with 10 cm indoor accuracy within buildings.
